Understanding Document Staging

Document Staging is a review queue where newly uploaded documents wait for you to categorize and approve them before they're added to your permanent library.

Why Staging Exists

Instead of adding files directly to your document library, staging gives you a chance to review and organize first:

  • Review AI suggestions -- Accept or correct the suggested category and document type
  • Add context -- Link documents to the right property, area, and vendor
  • Catch mistakes -- Delete incorrect or duplicate uploads before they clutter your library
  • Work at your own pace -- Review multiple uploads when it's convenient

Accessing Document Staging

There are several ways to get to staging:

  1. Dashboard notification -- When documents await review, an orange banner appears showing how many are ready. Click Review to go there.
  2. Documents sidebar -- Go to Documents in the sidebar, then look for the staging indicator showing the count of pending documents.
  3. After uploading -- The upload dialog lets you navigate directly to staging when uploads complete.

The Staging Queue

The staging page is titled Document staging and shows all documents waiting for review.

Each document appears as a card with its filename, upload date, and processing status. Documents may show:

  • Ready for review -- AI analysis is complete, waiting for your input
  • Processing -- AI is still analyzing the document (usually takes seconds)

Click Review on any document to open the review screen.

Reviewing a Document

When you open a document for review, you see a split-screen layout:

Left side -- Review form:

  • Document name and document type
  • Category and assets (the systems or equipment the document relates to)
  • Properties, units, and areas
  • Vendor selection
  • Description and tags

Right side -- Document preview:

  • View the actual document
  • Zoom and navigate multi-page PDFs
  • Verify the AI suggestions are correct

Completing a Review

After filling in the review form, you have three options:

  1. Approve & Next -- Finalize the document and move it to your permanent library. If more documents are in the queue, you advance to the next one automatically.
  2. Save as Draft -- Save your progress but keep the document in staging for later
  3. Reject -- Delete the document from staging entirely

Navigating Between Documents

When reviewing, you'll see navigation arrows and a counter (for example, "1 of 5") in the header.

  • Click the left/right arrows to move between documents
  • After approving, you automatically advance to the next document
  • Continue until staging is empty

Keeping Staging Clear

  • Review documents soon after uploading while the context is fresh
  • Use Save as Draft if you need to look something up before finishing
  • Delete obvious duplicates or mistakes with Reject
  • Documents can stay in staging as long as needed -- there's no time limit

Good to know:

  • Documents in staging don't appear in your main library or reports
  • You can return to a saved draft anytime before approving it
